This Privacy Policy describes how MuneroHQ Software Solutions Inc. ("we," "us," or "our") collects, uses, and discloses personal information when you use MuneroHQ ("Service"). We are committed to protecting your privacy in accordance with the British Columbia Personal Information Protection Act (PIPA) and applicable federal privacy legislation.

1. Information We Collect

Information you provide

• Account information: email address and password when you sign up
• Business profile: legal business name, business email address, province, tax registration numbers (GST/HST, PST, or QST where applicable), and Stripe Connect account ID (if you connect a Stripe account for card payment collection)
• Customer data: names, email addresses, and provinces of your customers
• Invoice content: line items, descriptions, amounts, and dates you enter
• Communications: messages you send to our support team

Information collected automatically

• Usage data: pages visited, features used, and actions taken within the Service
• Log data: IP address, browser type, operating system, and timestamps
• Error data: crash reports and error events collected via Sentry

2. How We Use Your Information

We use the information we collect to:

• Provide, operate, and maintain the Service
• Process your subscription and billing via Stripe
• Send invoices and related emails on your behalf via Resend
• Generate PDF invoices using your business and customer data
• Improve and develop new features of the Service
• Respond to support requests and communications
• Detect and prevent fraud, abuse, and security incidents
• Comply with legal obligations

3. How We Share Your Information

We do not sell your personal information. We share your data only with trusted third-party service providers necessary to operate the Service:

• Stripe — payment processing, subscription management, and Stripe Connect for direct card payouts to your connected bank account. Stripe's privacy policy is available at stripe.com/privacy.
• Resend — transactional email delivery for invoice sending.
• Sentry — error monitoring and crash reporting.
• OpenAI — AI-assisted invoice drafting (your description text is sent to the OpenAI API to generate invoice drafts). We store a short preview of your prompt for audit and abuse-prevention purposes.

Each provider is bound by data processing agreements and is only permitted to use your data to provide services to us. We may also disclose information if required by law or to protect the rights, property, or safety of our users or the public.

4. Data Retention

We retain your account and invoice data for as long as your account is active, and for a reasonable period thereafter in case you reactivate, or as required to comply with our legal obligations, resolve disputes, and enforce our agreements.

You may request deletion of your account and associated data by contacting us at support@munerohq.com. Note that some data may be retained for legal and tax compliance purposes.

5. Data Security

We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, disclosure, alteration, or destruction. These include encrypted connections (HTTPS), hashed password storage, and access controls.

No method of transmission over the Internet or electronic storage is 100% secure. We cannot guarantee absolute security, but we take commercially reasonable steps to protect your data.

6. Your Rights

Under applicable Canadian privacy law, you have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your account and personal data
• Withdraw consent where processing is based on consent
• Lodge a complaint with the Office of the Information and Privacy Commissioner of British Columbia

7. Cookies and Tracking

MuneroHQ uses minimal browser storage (localStorage) to maintain your login session. We do not use third-party advertising cookies or cross-site tracking technologies.

8. Children's Privacy

The Service is not directed at individuals under the age of 18. We do not knowingly collect personal information from minors. If we become aware that a minor has provided personal information, we will delete it promptly.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by email or by posting a notice in the Service. The effective date at the top of this page indicates when the policy was last revised.
